The right use for Zapier
Zapier does one thing very well: connect two tools with a simple rule. When this happens, do that. As long as your needs fit in that sentence, it is the fastest choice and the cheapest in time.
Where the limit lies
It appears when you have to write “unless”, “for each of the items” or “while waiting for”. The chain becomes long, hard to read, and expensive to correct. That is the moment to move to a tool that represents flows visually.
The cost, and what drives it up
Billing is per task executed, in tiers. What drives it up is not the complexity of your automations but how often they trigger. A three-step chain triggered a thousand times a day will always cost more than a twenty-step scenario triggered ten times.
What we check as a matter of course
What happens on failure. Many automations run for months then stop silently when a connected tool changes its interface. Without an alert, nobody sees it, and the missing data is discovered much later.
